Solace & Story Memorials - Terms of Service

Terms of Service Effective September 1, 2026

These terms govern any memorial design, keepsake, or ceremony service ("Services") provided by Solace & Story Memorials ("we," "us," or "our") to you ("client," "you"). By placing an order, submitting a deposit, or engaging our Services, you agree to these terms.

Orders and payment: Design and keepsake orders require payment in full (or a deposit, if agreed in writing) before work begins, unless otherwise stated in your invoice. Turnaround times listed on our site or in your invoice are estimates and begin once we have received all necessary materials from you (photos, text, dates, and any other content needed to complete your order). Delays caused by late or incomplete materials, unresponsive communication, third-party printers, shipping carriers, or events outside our reasonable control are not our responsibility, and we will communicate any resulting delay as soon as we're aware of it.

Proofs and Your Approval Before any keepsake is finalized or printed, we will provide a digital proof for your review. It is your responsibility to carefully review the proof for accuracy, including names, dates, spelling, and wording, and to request any corrections before approving it. Once you approve a proof in writing (including by email or text), we are not responsible for errors contained in the approved proof. If an error is ours and is caught after printing, we will correct it at no additional cost; if the error was present in materials you provided and was not caught during your review, reprinting or redesign will be billed as a new order.

Cancellations and Refunds If you cancel before we begin design work, any deposit will be refunded minus a 10% administrative fee. Once design work has begun, payments are non-refundable, though we will provide you with any work completed to that point. Once a proof has been approved and sent to print or finalized for digital delivery, the order is final and non-refundable.

Content You Provide You are responsible for ensuring you have the right to use any photos, text, quotes, song lyrics, religious materials, or other content you provide to us for your project. By submitting materials to us, you confirm you have permission to use them and to have them reproduced in your keepsake or program. We are not responsible for any copyright or permission issues related to content you provide.

Ownership of Final Work Once your order is paid in full, you own the right to use and print your final keepsake files for personal and family purposes. We retain the right to reuse original design layouts, templates, and artistic elements we created (not your personal photos or family-specific text) in future work for other clients, and may display completed work in our portfolio or marketing unless you ask us in writing not to.

Ceremony Services Where we provide officiating or ceremony services, any religious, spiritual, or cultural content included in a service reflects the wishes and traditions requested by your family. It does not represent an endorsement of any specific faith, denomination, or belief system by Solace & Story Memorials.

Limitation of Liability. To the fullest extent permitted by law, our total liability for any claim arising from our Services is limited to the amount you paid us for that order. We are not liable for indirect, incidental, or consequential damages, including emotional distress, arising from our Services, delays, or errors, except where caused by our gross negligence or willful misconduct.

Changes to These Terms: We may update these terms from time to time. The effective date above reflects the most recent revision. Continued use of our Services after a change means you accept the updated terms.
